How do I write a good Frequently Asked Question (FAQ)?

Some top tips for writing a good Frequently Asked Question (FAQ) include:

Think like your customers and try to phrase your title in a way a real customer would ask you a question
Use the brief summary area to provide the initial answer - this is what customers will see in search results and when browsing FAQs
For the full answer you can repeat the Brief Summary information but go into more detail
Try and be concise and punchy with your answer - it can be useful to break up the text with subheadings and bullet points
Don't repeat information if it's available elsewhere - better to link to that information! For example if you have an FAQ answering "What times are you open?" and your opening hours are on your main website your answer can simply be "Our opening hours can be seen on our website here" and you can add a link
If you have images or media (eg a YouTube video) that can help with an answer don't be afraid to include it in your answer - Malcolm! fully supports this and customers love it!
Remember to use tags and categories as that will help your customer find their way to the FAQ
Use the feedback option in Malcolm! as that will let customers tell you if the content is useful or not. Regularly review the feedback you get in MyMalcolm!

Question 2

Do I need to pay VAT?

Accepted Answer

Value Added Tax (VAT) is the sales tax in the United Kingdom where Malcolm! trades from. The current UK VAT rate is 20%. Our pricing is quoted excluding VAT.

The UK is no longer a member of the European Union (EU) however the VAT rules around UK companies trading with EU based businesses and EU based individuals continue to apply.

Whether VAT is applicable to your purchase of Malcolm! and how we apply it can be summarised as follows:

If you are a UK customer (individual or business): we charge VAT at 20%
If you are an EU Business and supply a valid VAT number (we check it): we will not charge you any VAT
If you are an individual in the EU: we will charge you VAT at your local country VAT - details here (PDF)
If you are a company or an individual not in the UK or in the EU (eg you are in the USA or Australia): we will not charge you any VAT

Can I password protect my Hosted Hub?

Yes, you can password protect your Hosted Hub. You can also password protect individual FAQ's or Workflows.

Can I open the web based version of an FAQ from a widget, overlay or inline embed?

You can turn on a link to the web based (hosted hub) version of each FAQ from within the widget, overlay or inline embed view of that FAQ via your embed theme.

Goto Brand --> Embeds --> The edit icon on the Emend Theme --> Scroll to the bottom of that screen.

Can I set Workflow values in a URL?

A very powerful feature of Malcolm! is the ability to populate one or more values within a Workflow via the URL to the Workflow itself.

This is extremely powerful if - for example - you want to pass into a Workflow information that lets you identify who has completed it - such as a customer ID or perhaps some other form of unique reference that lets you know what the information relates to (eg an order or transaction id)

For example, let's say a customer has created an order with order ID 12345 and you need some further information to fulfil the order. Rather than send them a Workflow which asks them for their order ID as one of the questions (or relies on you manually linking the submitted Workflow with a completed order your side) you could send them a link in the format https://url.com/workflows/order-info-needed?orderid=12345

You can put values for multiple fields in the URL too eg https://url.com/workflows/order-info-needed?orderid=12345&anotherfield=abcde

You can choose whether the user filling in the Workflow will see the Order ID repeated on their Workflow or not. If they can see it you can choose whether they can edit it or not. You can also choose what the descriptors in the URL (in the example above the "orderid" part) actually are. All these configurations are made by clicking on the individual element in the Workflow builder in MyMalcolm and scrolling to the "Settings" area.

When the Workflow is submitted you will receive the Order ID (and any other fields you have completed via the URL) as part of the submitted information.

When you combine the ability to populate fields by variables in the URL with the integration functionality of Malcolm! it becomes even more powerful as you could programmatically send out Workflows for completion (with some identifying information inserted via an auto generated URL) and then combine them with your other systems on submission via an integration or a webhook using the identifying information to link things together.

This becomes a great way to send out surveys, create follow ups to marketing campaigns, extend the functionality you offer to "logged in" users etc etc - the possibilities are endless!

Do you support Google Tag Manager?

Yes, we support Google Tag Manager. You put Google Tag Manager, and the subsequent tags and behaviours you configure in GTM on all your user facing pages. See this FAQ for further details.

How to integrate with Mews using Workflow integrations

At Malcolm! HQ we continue to roll-out our built-in Workflow integrations, our most recent being the Mews Property Managamenet System.

Use a Malcolm! Workflow to capture information or record choices from your guest then have that data added to the guest notes in Mews. All you need from your guest is their Surname and Confirmation Number or a Reservation ID.

Connect to Mews

Get started in MyMalcolm by connecting to your Mews account via Settings > Workflows > Integrations using your Mews Client token and Access token.

Build the Workflow

Start a new Malcolm! Workflow and capture the guest Surname and Confirmation Number.

If you prefer a hidden Reservation ID could be passed in via the URL, for example using a link in a direct email to the guest. URL values can also be tokenised to hide their true value. Read more on Setting Workflow values in a URL and Securing Workflow values.

Finish by adding the fields you'd like to capture in guest profile notes.

How do I sign up?

You can sign up and create a Malcolm! user account by filling in the registration form here.

You will need to verify your account via clicking a link in an email we send to your email so please ensure you use a real email address!

It is free to sign up and have a Malcolm! user account - billing belongs to an Instance rather than a user. See here for more on instances.

Your user account can be attached to one or more instances of Malcolm! and you can easily switch between them. This can be great if your company or organisation are using Malcolm! for various different things or if you are a freelancer and work with Malcolm! across different clients or projects.

How do I change my social share image?

Your social share image is the image that may appear when you share a URL from your hosted hub on social networks (like Facebook or LinkedIn) or in text messaging applications (like WhatsApp)

By default all pages have a generic image.

You can change this and set your own default social share image in your theme (in the general tab of your individual theme settings)

There are then a number of optional overrides that you can apply if desired:

on each individual FAQ/Article or Workflow you can change the social share image for that individual piece of content in Configure --> Meta content
for each author, category or tag, if you have set the respective listing to index, you can change the social share image in the meta section of the listing settings
for the hosted hub home you can change the social share image in Settings --> Instance --> Meta content
for the individual FAQ/Article home (if enabled) you can change the social share image in Settings --> FAQs --> Meta content
for the individual Workflow home (if enabled) you can change the social share image in Settings --> Workflows --> Meta content

You can use a site like https://socialsharepreview.com/to check your social share images are coming through as intended.

Question 10

How can I review the activities of other Team members on my Instance?

You can do this via the Team section of MyMalcolm. Click on a user name and you will see their activity within the instance. You can apply filters to this information via the filter icon.
