How can I review the activities of other Team members on my Instance?

You can do this via the Team section of MyMalcolm. Click on a user name and you will see their activity within the instance. You can apply filters to this information via the filter icon.

Can I put tracking (or other) tags in my FAQs / Workflows / Hosted Hub?

Accepted Answer

You can add Javascript tracking tags via the Settings Section of MyMalcolm. Select Tracking tags within that section.

For Google Analytics you can just add your GA ID.

For users of Google Tag Manager you can add your GTM ID then manage all tags via their interface.

For any other tags add these in the "Any other Javascript snippets" area.

If you wish to use another tag manager you could add that tag managers code in the "Any other Javascript snippets" area and then manage your tags via their interface.

Can I change the terminology/rename FAQs and/or Workflows?

Within Malcolm! you can choose the title of your FAQs and Workflows, but you may want to use Malcolm! in a way where the terminology "FAQs" and "Workflows" doesn't make sense. For example you might want to rename FAQs "Policies" or "Help Articles". You might want to rename Workflows "Requests" or "Tasks".

This is no problem - you can rename both things in the Brand section of MyMalcolm.

Edit your chosen theme, then navigate to the "FAQ" and "Workflow" section in the vertical side navigation.

MyMalcolm will still refer to FAQs and Workflows but any references your users see will be updated to the value you set above.

Question 4

How do I turn off my hosted hub?

Accepted Answer

Every instance of Malcolm! comes complete with a hosted hub. But you might not want to use it and may prefer to turn it off. No problem!

To turn off your hosted hub go the settings section of MyMalcolm, then select "visibility" in the vertical left hand navigation. You can then select "Disable the instance Hosted Hub"

Once disabled, any traffic hitting your Hosted Hub URL will see a 403 error. If you'd prefer to redirect that traffic somewhere else you can do this by selecting "Advanced" in the vertical left hand navigation then entering your redirect URL.

How do I hide an FAQ?

You can change the visibility of an individual FAQ within that FAQ's Configure section

Browse to the FAQ in question via the Library, select it and then go to the Configure section, then Visibility.

Here you have the following options:

Set as visible on your site and search engines (default)
Set as visible on your site but hidden from search engines
Set as hidden from your site and search engines

Can I change meta information and optimise Malcolm! for SEO?

Malcolm! offers lots of options to configure your hosted hub for SEO purposes. Below is an overview.

FAQs and Workflows only homepage

If you use the FAQs only and Workflows only homepages, you can set the page title, meta description and keywords for them via Settings --> FAQs --> Meta Content and Settings --> Workflows --> Meta Content respectively.

Authors, Categories & Tags

By default the results pages for Authors, Categories & Tags are not shown to search engines, but you can change this and configure the meta information via the respective Author, Category and Tag in the FAQ section.

Individual Content

You can edit the meta content and visibility (ie whether a search engine can see it) of an individual FAQ or Workflow via the configure tab of the FAQ or Workflow in question.

Social Images

A social image is the image that will be used when you link to content via services like Twitter, Facebook, LinkedIn etc.

A default social image is defined in your theme (Brand --> Theme --> edit icon on theme --> General)
That can be overriden by defining a social image in Settings --> Instance --> Meta
For your hosted hub home, the FAQs and Workflows only homepages and the Authors, Categories & Tags results pages the above can be overriden via the respective setting screens mentioned above.
An individual piece of content (ie an FAQ or Workflow) can set their own social image and override the above via the configure tab of the content in question.

Site Map

All published and "visible" pages/content will appear in the sitemap.xml file which can be found at yourhostedhub.com/sitemap.xml where yourhostedhub.com is your actual Malcolm! hosted hub URL.

Schema

We mark up content created in the FAQs section using Schema. This means your content may appear in Google as Rich Results. You can choose between marking content up as FAQPage (perfect for questions and answers) or as a WebPage. See here for more info. What can I change in the Settings Section of MyMalcolm?

The Settings Section of MyMalcolm offers a variety of configuration options for your Instance.

Within this section you can change the following things:

The name and description of your Instance (this is seen within MyMalcolm by other Team members)
The subdomain used for your Malcolm! Instance and/or setup your own custom domain
Manage third party Javascript tracking tags
Turn the Hosted Hub off/on and configure whether it appears in search engines
Turn approvals off/on
Redirect base URL if Hosted Hub not used
Transfer Instance ownership to someone else
Delete your Instance
Turn FAQs on/off
Turn Workflows on/off
Manage your Integration credentials

Can I organise or filter my Workflow completions?

You can filter your Workflow completions, assign a status and also add notes.

This can be really useful if you want to use the Completion screens like a mini CRM - you can categorise or mark your completions to organise them in a certain way. For example you may want to apply the status "Done" or "Processed" to certain Workflows and "Follow Up" to others.

You can also add notes to a Workflow completion that your Team can see. A handy notes icon will appear in the Completions list to show notes exist.

How do I change my Plan?

You can move between different types of plan in the Billing section of MyMalcolm. Bear in mind that different plans have different quotas so if you are downgrading to a less expensive plan you may need to reduce the number of FAQs you have (for example) if you are moving from a Team to a Micro plan.

How do I make my Workflow into a pop up overlay?

In the Library screen of the Workflow section of MyMalcolm click the three dots on the right hand side of the screen and select "Embed"

This will take you into the Share section of MyMalcolm! Here you can choose the type of embed you want to create.

Choose "Overlay" and work through the screens - the Workflow you came from will be preselected as the content you want to surface in your Overlay. You will be offered various styling and display options and at the end of the process you will be supplied with the code that you should add to your webpage HTML and the inline code used to launch the overlay.
