Do you mark content up in Schema?

By default we mark up your FAQ hosted hub content using the FAQPage schema. This is useful for search engine results. If your content is more general in nature you may prefer to change the schema used to WebPage. You can also do this from Settings --> FAQs.

How can I use Square with Malcolm! to collect payment from my customers?

Accepted Answer

Malcolm! now integrates with Square. Square is a payment service provider that enables business owners to collect payment from their customers.

With our Square integration you can create Workflows in Malcolm! that include fields for your customers to enter their card details and pay for things like products, services, memberships etc or perhaps make a donation towards something.

Here is how to set things up:

If you don't already have a Square account create one here.
In MyMalcolm go to the Settings, then Workflows, then Integrations, then click on Square.
You'll be taken to a page on the Square website where you can login and confirm that you wish to link your Square account to Malcolm!

Once you have linked your Square account you can create Workflows via the Workflow section as usual and place payment related elements onto those Workflows. Two particular elements to pay attention to are Currency and Payments.

Payments is the element where your customer will provider their card details. You can configure the amount your customer is charged via the Payment element settings, or you can optionally ask the customer to enter their own amount via the Currency field - this can be useful in scenarios like donations or account payments where you may wish to offer the customer the choice of the amount to pay.

If you also collect your customers email (and Name) in the Workflow you can optionally use that information to send them a payment confirmation email. You can configre and customise this via the Payment element settings.

You can place the Payment element on any page of your Workflow, but the actual payment transaction will not be attempted until the final submit of your Workflow. If there is a problem with the payment details your customer will be returned to the page with Payment element on it and given a chance to update their details and proceed back through the Workflow.

And there you have it! Taking payments via Square is a really powerful and quick to implement feature of Malcolm! Workflows. Taking payments will also work when the Workflow is surfaced via our embeds, widgets and overlays too! Question 3

Is there a limit to the number of times a Workflow can be completed?

No - there are no restrictions on the number of times a user can complete a Workflow on any of our plans.

Question 4

Does my hosted hub have a sitemap I can submit to Google?

Accepted Answer

Your hosted hub has a site map of all published and non-hidden content that you can submit to Google Search Console and other similar services or software at /sitemap.xml

eg if your hosted hub URL is support.mydomain.com the URL for your sitemap will be https://support.mydomain.com/sitemap.xml

Can I restrict some or all of my Team members from seeing and/or exporting submitted Workflow data?

Accepted Answer

Sometimes you may wish to use Workflows but restrict other Team members on your instance from having access to the data that is submitted by your end users.

Here is how to do this

Access is managed via the "Team" section of MyMalcolm.
In that section if you click on a Team Member then select "privileges" you can configure whether a user can see and/or export submitted Workflow data. You can even remove all their access to the Workflow section.
Depending on their settings the Instance Owner and some Team Members may also receive submitted data via email alerts. See more about managing email alerts here.
Regardless of their own preferences Team Members won't receive email alerts relating to Workflow completion if they don't have access to Workflow submitted values and exports.

Some related things to be aware of

Remember that on a Workflow level further email recipients can be added in the "email answers" part of the configure section of the individual Workflow - it may make sense to review this recipient list at the same time you review who on your team has access to end user submitted data.
Be aware that if you are pushing some or all of the submitted data to third party systems via Integrations or Web Hooks then submitted data will potentially be viewable by users in those systems.

How do I make my Workflow into a pop up overlay?

In the Library screen of the Workflow section of MyMalcolm click the three dots on the right hand side of the screen and select "Embed"

This will take you into the Share section of MyMalcolm! Here you can choose the type of embed you want to create.

Choose "Overlay" and work through the screens - the Workflow you came from will be preselected as the content you want to surface in your Overlay. You will be offered various styling and display options and at the end of the process you will be supplied with the code that you should add to your webpage HTML and the inline code used to launch the overlay.

Can I have a different logo on FAQ / Workflow pages?

Sometimes you might want to use a different logo on your hosted hub homepage to the rest of your hosted hub. If you are using a header image on the hosted hub homepage for example you might want to use a reversed or alternate logo that works well on top of that image.

You can specify a secondary logo inside the header section of your theme.

Could I use Malcolm! as a publishing platform?

Accepted Answer

Malcolm! has primarily been designed around service interactions with users (eg answering their questions and taking them through a process) but we do have users who use Malcolm! in a more "marketing" or "content" based way eg to host content and/or take their users through forms to download content or register for something.

If you want to use Malcolm! in this way it's worth remembering that you have full branding control (more info here) and can even rename things like FAQ's and Workflows (more info here). You can also change your base URL. See more information in this article.

By default we do mark up FAQs content using https://schema.org/FAQPage so if your content doesn't follow a question and answer format and you allow that content to be indexed by search engines you may wish to change the schema to https://schema.org/WebPage. You can see how to do this here.

How can I password-protect my hub with Memberstack?

Malcolm supports using Memberstack to password-protect your content.

This guide will help you set up Memberstack.

First go to MyMalcolm > Settings > Instance > Visibility and toggle the option to use a third party service for Hosted Hub password protection. This automatically enables the built-in password protection.

Attributes from your Memberstack users can be pre-populated in Malcolm! Workflows. To enable this feature choose a suitable field on a Workflow, edit the field settings and enable "Allow a value to be set in the URL query". Enter one of the two attributes name or email to pre-populate those values directly into your Workflow.
