How do I leave Malcolm?

Accepted Answer

If you want to leave an instance you can ask the owner of any instance(s) you are a member of to remove you.

If you are the owner of an instance and you wish to delete that instance you can do this via MyMalcolm (in the Settings section).

If you no longer wish to be responsible for an instance but you want the instance to live on you can transfer ownership to somebody else via the settings section of MyMalcolm. The new owner must agree to take over responsibility for the instance. Remember that billing belongs to an instance so you may wish to update the billing details of an instance before you transfer it to someone else.

We are always sorry to see people leave Malcolm! so if there is a particular reason or issue that is causing you to leave and you think we might be able to help please do contact us and let us know.

Do I have to pay extra to brand or customise the look and feel of Malcolm?

No - all plans include extensive branding options. We want to make it as easy as possible for you to integrate Malcolm! and reflect the existing look and feel of your business.

How do I sign up?

You can sign up and create a Malcolm! user account by filling in the registration form here.

You will need to verify your account via clicking a link in an email we send to your email so please ensure you use a real email address!

It is free to sign up and have a Malcolm! user account - billing belongs to an Instance rather than a user. See here for more on instances.

Your user account can be attached to one or more instances of Malcolm! and you can easily switch between them. This can be great if your company or organisation are using Malcolm! for various different things or if you are a freelancer and work with Malcolm! across different clients or projects.

Is Malcolm! GDPR compliant?

What is GDPR?

"GDPR" refers to The General Data Protection Regulation 2016/679. This is a regulation in EU law on data protection and privacy for all individuals within the European Union and the European Economic Area. It also addresses the export of personal data outside the EU and EEA areas.

How does it apply to Malcolm?

Malcolm! collects, stores and processes data about our own customers - people signing up to Malcolm! and creating and managing instances.

When talking about GDPR it is important to understand the concept of the Data Controller and the Data Processor.

The Data Controller determines the purposes for which and the means by which personal data is processed
The Data Processor processes personal data only on behalf of the controller.

Is Malcolm! the Data Controller or the Data Processor?

In the context of information about our own customers, eg people who sign up for Malcolm! accounts and manage Instances we are the Data Controller.

In the context of information about your customers, eg information that is collected on your behalf via Workflows you create in Malcolm! we are the Data Processor only. You - as the Data Controller - have the obligation to ensure you are acting lawfully in accordance with the GDPR legislation.

What does all this mean?

When you sign up to Malcolm! you agree to our Terms of Service and our Privacy Policy which detail how we handle your data. By agreeing you give us your consent.

It is important that when you collect, store, process and potentially transfer (via Integrations or Exports) data from your own customers via a Malcolm! Workflow you have your customers consent to do this. Most companies handle this via provisions in their Privacy Policy and/or Terms and Conditions around data processing which their customers agree to. It is therefore good practice to include a check box in your Workflows that reminds customers of your Privacy Policy and their continuing agreement of it and/or confirms their consent for you to collect and process their information

Question 5

Can you send me a (VAT) invoice?

You can download an invoice / receipt for each payment you've made to us in the Billing Section of MyMalcolm. Select "Invoices/receipts" in the left hand vertical navigation and then click the icon on the right of each row to download the invoice/receipt associated with each payment.

If you have paid VAT as part of the payment we've taken from your card your invoice/receipt will show a breakdown of this.

Do you support Google Tag Manager?

Yes, we support Google Tag Manager. You put Google Tag Manager, and the subsequent tags and behaviours you configure in GTM on all your user facing pages. See this FAQ for further details.

How do I set up my Hosted Hub?

Every instance of Malcolm! comes complete with a Hosted Hub that you can configure and customise.

You can find out more about the Hosted Hub here and if you want to turn if off you can find out how to do that here.

In MyMalcolm if you click "View Live" towards the top the screen you'll see what your Hosted Hub currently looks like.

The two things you are probably most likely to want to change are the URL the Hub is on and the Hub's look, feel and content. Here is how to configure each of those areas.

1. Configure the URL

In MyMalcolm, go to the Settings section, then select "Custom Domains" from the vertical left hand menu. In this area you can change the URL your Hosted Hub will use. It's possible (and no extra charge) to use your own external domain or sub-domain.

2. Change your Hub's look, feel and content

You can extensively customise your Hosted Hub to suit your own requirements. To do this, go to the Brand section of MyMalcolm, clone an existing theme, then choose the edit icon on your cloned theme.
