What is my Hosted Hub?

Every instance of Malcolm! comes with a Hosted Hub. This is a website that we host for you. You can customise it entirely to your requirements. You can change the branding, the colours, the fonts, the layout, the copy, the icons etc etc. You can even configure it to work on one of your own domains or sub domains.

If you don't have a current website your Hosted Hub could be your main website. If you already have your main website at www.domain.com you could set up your fully branded Malcolm! Hosted Hub at a sub domain like support.domain.com or help.domain.com or customers.domain.com

Some customers may not wish to do this and instead may wish to integrate Malcolm! into their current website. No problem! We have a whole section in the MyMalcolm Control Panel dedicated to this and there a variety of ways you can bring content and functionality from Malcolm! into your own website. We've also got a plugin for Wordpress and a variety of widgets and further integration options coming soon. Customers on our Enterprise plans can have full progamatic access to Malcolm! content and functionality via our comprehensive API.

What is the Media Section in MyMalcolm?

Accepted Answer

The Media Section in MyMalcolm is a central place to manage images and other resources (eg PDF's) that you may wish to reference in your FAQs or use as part of the Brand customisation of your Malcolm! Hosted Hub.

You can upload resources directly into the Media section and any resources you upload via the FAQ or Brand sections will also automatically be put into the Media Section.

What are Categories in FAQs?

Accepted Answer

Categories offer a way of organising your FAQs around similar areas. For example you may wish to group some of FAQs into a "pre sales" category and others into a "post sales" category. Or if you sell many different types of product you might want to create categories for each product and categorise your FAQs in this way.

Customers may choose to browse FAQs by category as well as searching.

An FAQ can exist in more than 1 category and you can also create sub categories within categories.

How do I suspend or remove team members from my Instance?

You can do this via MyMalcolm. Go to the Team Section and click on the user you wish to suspend or remove. The options to suspend or remove will then appear towards the top right of the screen.

How do I review the feedback on my FAQs or Workflows?

Accepted Answer

You can choose whether to allow your customers to feedback on your FAQs or Workflows. They can say whether the content was helpful or not and optionally leave comments.

This information is only seen by you and other team members on your instance - it isn't viewable by other customers.

The feedback feature can be very useful as your customers may highlight things that are confusing or information/items you have left out.

When feedback is left a notification will be created. You can see feedback across all content in the Feedback area within the FAQ or Workflow sections. You can also see feedback on an individual FAQ or Workflow when navigating to that FAQ or Workflow via the Library.

What are tags for in the Media Section?

Tags are a way (along with folders) of helping your organise and label your media.

They can be useful when your media library becomes large. For example, if you use rights managed images in your FAQs you could use tags to help you remember the expiry dates of those rights.

How do I change my Plan?

Accepted Answer

You can move between different types of plan in the Billing section of MyMalcolm. Bear in mind that different plans have different quotas so if you are downgrading to a less expensive plan you may need to reduce the number of FAQs you have (for example) if you are moving from a Team to a Micro plan.

How do I transfer ownership of an Instance?

Each instance has an owner. This is the master user who is ultimately responsible for the instance. If you are on a Team or Enterprise plan you can invite other users to the instance too. If you need to transfer ownership of the instance to another user (for instance if you are leaving a company or organisation) you can do that as long as the proposed new owner agrees.

To do this go to the Settings Section of MyMalcolm, within the instance you wish to transfer ownership of. Navigate to Ownership.

Remember that billing belongs to an instance so you may wish to update the billing details of an instance before you transfer it to someone else.

How do I cancel Malcolm?

You can delete your instance or change the plan it is on anytime via MyMalcolm.

To delete an instance visit the Settings section of MyMalcolm. You can also move between different types of plan in the Billing section of MyMalcolm. Remember that different plans have different quotas so you might need to reduce the number of FAQs you have (for example) if you are moving from a Team to a Micro plan.

You can cancel an Instance anytime although bear in mind that Micro and Team plans are billed monthly in advance and you won't get a refund for any unused portion of the month you have paid for when you cancel.

If you are on an Enterprise plan talk to your Account Manager for any changes or cancellation requests.

How do I hide an FAQ?

You can change the visibility of an individual FAQ within that FAQ's Configure section

Browse to the FAQ in question via the Library, select it and then go to the Configure section, then Visibility.

Here you have the following options:

Set as visible on your site and search engines (default)
Set as visible on your site but hidden from search engines
Set as hidden from your site and search engines
